In special cases exhibition materials may be removed on Monday, with the express permission of Easyfairs and upon payment for the extra hours of security and other costs invoiced by Easyfairs.
Parking during the exhibition: exhibitors are requested to take exit no. 5 from The Loop to car park A, which is only accessible upon presentation of a valid parking voucher.
Short overview of important agreements
(cf. Rules of Procedure)
- The completed registration form or online registration constitutes a binding contract.
- Permission to build the stand and effectively participate in the exhibition will only be granted after the invoice has been paid in full.
- Options taken on a platform last for one month if the contract is concluded before 1 January 2022 and for one week if concluded after 1 January 2022. No options will be given after 19 April, unless otherwise specified by the REVA office. The registration deadline is 19 April 2022. Provided there are still spaces available, you will be able to register even after this date, but you will be required to pay an additional 15% on top of the registration fee to cover any organisational changes that need to be made.
- The following costs will be charged if your participation is cancelled: cancellation before 1 October 2021: 15% of the rental price of the stand site. Cancellation between 1 October 2021 and 31 December 2021: 30% of the rental price. Cancellation on or after 1 January 2022: 100% of the rental price, plus registration fee.
- Exhibitors who want to rent a stand site together must report this to the office. They must register separately as exhibitors and will be charged separately. An exhibitor can only be mentioned as an individual exhibitor on the website and in the catalogue, and receive the promotional material, if the other exhibitor pays their fees as well.
- For security reasons, a speed limit of 5 km/h is applicable to all vehicles (bicycles, wheelchairs, scooters, etc.) in the exhibition corridors.
- Exhibitors who want to organise a public attraction on their stand should obtain authorisation from the organisation, in order to avoid any disturbance for the other exhibitors. Please do not forget to pay music copyright fees (Sabam).
- According to the Rules of Procedure, small products worth up to € 100 can be sold at the exhibition. All prices must include VAT to avoid problems with the tax authorities.
- Smoking is prohibited in all halls and offices at Flanders Expo at all times.
‘Flanders Expo’ is the name of the exhibition complex as a whole.
‘Easyfairs’ is the name of the company that manages the complex.
